Using Archives
Using archives is a great experience – each item is precious and unique, a direct connection with the past. One of our users described archives as a ‘world of possibilities’. With so many possibilities on offer, it can sometimes be hard to know where to begin.
Archives teams across Wales have put together Archives Made Easy resources to help you get started on your archive journey.
Where should I begin?
Our new video, Archives Made Easy, and accompanying printed guide, Archives Made Easy: Quick Start Guide, take you through the process of using an archive for the first time.
Suitable for first-time users, or anyone visiting a new archive, the video and guide include tips on how to find what interests you, contact archives and explore collections.
How can I engage with archive services?
You can access archive services in many different ways:
- Visiting an archive service onsite
- Searching collection catalogues available remotely using online catalogues
- Accessing digitised collections
- Using research guides to learn more about collections held by archives across Wales
- Attending online or in-person events organised by archives, to learn more about topics that interest you
- Using remote research services offered by individual archives, for those who can’t visit in person.
How do I find what I’m looking for?
Our Archives Made Easy video and guide show you how to identify, and get in touch with, the archive most suited to your interest.
The best starting point is to contact the archive with your query so they can advise you on next steps. You can find contact information for all Archives Wales member services here.
You can also search online using:
- Archive catalogues – whether individual archive service catalogues or UK-wide catalogues like Archives Hub
- Subject research guides, available via individual archive service websites
- Digitised collections, available via individual archives or websites like
For archive catalogue search tips, see the ‘Resources’ section below.
What do I need to know before visiting an archive?
Accessing records
- Archives are different to libraries – you can’t browse the shelves to find the archives you want to see.
- Archives are unique as they can’t be replaced if they are lost or damaged – they are kept securely in dedicated strongrooms with the right environmental conditions.
- When you ask for an item, archives staff will retrieve the item for you; after you have finished with it, it will be safely put away until it is needed again.
- We encourage visitors, if possible, to specify which documents they would like to see as part of their visit to make the retrieval process as smooth and efficient as possible.
Archives are for everyone – help keep them safe
- Archive teams across Wales are committed to ensuring that archives are safe, inclusive and welcoming spaces.
- Visitor regulations are in place to ensure records can be accessed safely, preserving collections for present and future generations.
- Our handy Visitor Checklist lists some of the regulations commonly in place across Wales.
- Please also check individual archive service websites for any additional service-specific guidance.
Is there anything I need to bring with me?
Many services will ask for a form of ID when you first visit to get you signed up as a user. Some will accept the Archives Card, which gives you access to millions of archives records across Wales and the UK. Check your chosen archive’s website or contact them in advance to find out what you need to bring with you.
